When you’re budgeting for staffing – whether it’s a brand activation, event, professional corporate support or a busy retail environment – the management fee line item can feel like a question mark. You know it’s there, but what exactly are you paying for?
It’s a fair thing to wonder. And honestly, if an agency can’t answer that question clearly, that’s a red flag.
At Black Diamond Agency, we think transparency makes for better partnerships. So here’s a straightforward breakdown of what our management fee actually covers and why each piece of it exists.
It Starts Before Your Brief Even Arrives
A lot of the real work in staffing happens long before anyone steps on-site or takes a shift. Unlike agencies that only start searching once a booking is confirmed, our operation is running every single day.
A core part of our management fee supports an ongoing recruitment process, where we have a dedicated Recruitment Coordinator whose sole focus is to continuously source, do skill assessments, review interviews and find the best of the best to work with us. Only around 16% of applicants are successful through our recruitment process.
The benefit to you is simple, we have a team that is always growing, which means we can consistently provide clients with talented people who know how to communicate, have the right personality and the right skills for any type of role. Whether you need a brand ambassador for a high-impact activation, an administrative assistant to support during busy periods or reliable hospitality staff for a fast-paced environment, we are never starting from scratch.
Once Your Project is Locked In
Once your project is locked in, you’re not just getting “bodies in a room” – you’re getting a fully managed staffing solution supported by a structured delivery process.
You’re assigned a dedicated Account Manager who becomes your single point of contact from start to finish, so there’s no chasing different people for updates or getting passed around when things change.
Behind the scenes, our Staffing Manager works closely with the Account Manager to bring your brief to life. They carefully select the strongest talent from our team based on experience, past performance, availability and overall suitability, ensuring the right people are matched to the right environment every time and your roster is built with reliability in mind.
To ensure consistency on the day, we also prepare a Custom Staffing Brief that is shared with the team prior to the start date. This clearly outlines expectations, responsibilities and role specific details, so every staff member arrives fully prepared and aligned with what’s required.
Also, roster confirmation is typically completed within 48 hours of booking, giving you fast visibility on who has been secured and removing any uncertainty around staffing allocation.
What Happens When Plans Change
Working with staff is not always easy, businesses and events are unpredictable. Shift times change, staff cancel and briefs evolve – it happens to everyone. A good staffing partner should handle this without making it your problem.
Our management fee includes:
- Unlimited adjustments to shift times as your schedule changes
- Re-rostering if a staff member cancels, so you’re not scrambling at the last minute
These aren’t emergency add-ons. They’re just part of how we operate.
Verification You Can Actually Rely On
One of the bigger pain points with staffing is not knowing if people will actually show up, or whether they have the qualifications you asked for.
We address both directly.
Geo-tracking technology confirms that your staff are physically on-site when they’re supposed to be. You don’t have to take anyone’s word for it. This is especially useful for multi-location activations or events where you can’t be everywhere at once.
Where a qualification is required (first aid, RSA, food handling, and so on), we verify it before confirming placement. If you’ve asked for a qualified team, you’re getting one.
We also manage induction portals if your organisation requires staff to complete one before arriving on-site. That’s handled on our end, not yours.
Accountability Beyond the Shift
The work doesn’t stop when the last shift ends.
If you’ve requested it, we can provide photos and general feedback from the team. This is incredibly useful if you’re reporting back to stakeholders, running a post-event debrief, analyzing a retail campaign, or simply wanting a record of how things went
More importantly, we use this post-shift wrap-up to build your custom Preferred Staff List. If you loved a particular team member’s performance – whether it was their efficiency in a retail store, their professionalism at your corporate front desk or their energy with customers – we note it down. Based on your feedback, we prioritize those exact individuals for your future bookings so you get a consistent team that already knows your brand, your culture, and your systems.
It’s a small thing, but it closes the loop and builds long-term consistency in a way that most clients appreciate.
